Form Sharing

Form Sharing

Managing multiple forms across various pages can be a daunting task, especially when handling dozens of them over multiple accounts. To alleviate these challenges, implementing a system where forms can be shared between a main account and its subaccounts offers a streamlined, efficient solution.

ActiveDEMAND forms now can be submitted and shared from the main account on pages in the subaccount. This can be enabled by going into the main account form, going to Properties and checking "Allow this form to be used by and submitted to sub-accounts".

This will allow the form to be submitted by the subaccounts. However to make this happen, ensure that a form exists on the subaccount with the same name. The contents of the sub-account forms are irrelevant; they can be empty, as the system will automatically display the form created in the main account on the respective URL.

How it works?
A form is created in the top account. This form is then embedded on a page belonging to the subaccount. Based on the URL from which the form was submitted, the system intelligently determines the appropriate subaccount to which the prospect should be assigned by referencing the authorized URL's in the subaccounts. For example, a submission from the URL "seniorliving/community1" automatically directs the contact to the "community1" subaccount, thereby streamlining the lead allocation process.

Please note that you need to set up the auto-responder on the subaccount forms to send subaccount email branding responses. If you want to send a generic email, you can set it up on the main form auto-responder.

Advantages of Sharing Forms

The advantages of implementing shared forms are manifold. Key benefits include:
Reduction of Duplicate Contacts: By centralizing form management, the likelihood of creating duplicate contacts across various subaccounts is significantly minimized.
Elimination of Complex Workflows: The need for intricate workflows to check and manage contacts across every account is eradicated, simplifying the overall management process.
